Usage limits

Which limits your package sets, how Bilify counts each one, where to see your usage and what happens when you reach a limit.

Every package sets limits, such as how many team members or issued documents per month you can have. This page explains how each limit is counted and what happens when you reach one.

See your usage

  • Settings > Billing > Plan usage shows each limit as a bar, for example "3 / 5", or a count with Unlimited.
  • The Plan usage card on the Overview page shows the same limits. Its Invoices issued bar follows the date range you picked on the dashboard, so for the real monthly count use Billing.

The limits and how they are counted

Limit What counts Checked when you
Team members Everyone in Members, including you Send an invitation
Documents / month Documents issued in the current calendar month. Drafts do not count. Issue a document
Clients All clients, except archived ones Add a client
Document types Document types you have enabled Enable a document type
Numbering series Active numbering series Add a numbering series
Report schedules Active report schedules Schedule a report
Employees All employees, active or inactive Add an employee
Payment methods All your payment methods Add a payment method
Contracts sent / month Contracts sent for signature in the current calendar month Send a contract

The monthly counts start again on the first day of each calendar month.

Default limits per package:

Limit Starter Business Pro and Enterprise
Team members 1 5 Unlimited
Documents / month 20 200 Unlimited
Clients 25 Unlimited Unlimited
Document types 2 Unlimited Unlimited
Numbering series 1 3 Unlimited
Report schedules 0 3 Unlimited
Employees 0 25 Unlimited
Payment methods 2 10 Unlimited
Contracts sent / month 0 10 Unlimited

The numbers for your own company are always the ones in Plan usage. Packages also list a storage allowance, but storage is not measured or limited yet.

When you reach a limit

Bilify stops the action that would go over it and tells you why, for example "You have reached your plan's monthly document limit (20). Upgrade your plan to issue more." Nothing you already have is changed or deleted.

You can then:

  • free a place, for example by archiving a client you no longer invoice, removing a member or deactivating a numbering series,
  • wait for the new month for the monthly limits, or
  • change to a bigger plan. The new limit applies straight away.

Recurring invoices also count

Invoices that a recurring invoice issues automatically count toward Documents / month. If the limit is reached, that occurrence is not issued; Bilify records the reason and tries it again the next time the schedule runs. Keep an eye on the limit if you rely on recurring invoices.

Over the limit after a downgrade

If you move to a smaller package while using more than it allows, everything you have stays. You simply cannot add more of that thing until you are below the new limit. See Change or cancel your plan.
