Reminders and expiry
How automatic signature reminders work, how to change their schedule or switch them off, and what happens when a signing deadline passes.
Bilify can chase signatures for you: it reminds the signer whose turn it is on a fixed schedule, warns signers the day before the deadline, and closes the contract when the deadline passes.
Automatic reminders
Every morning (around 07:30) Bilify checks open contracts. A signer gets a reminder email ("Reminder: please sign ...") when all of these are true:
- the contract is open (Sent, Viewed or Partially signed) and has Send automatic reminders switched on;
- it is that signer's turn (they have been emailed but have not signed or declined);
- today is one of the reminder days, counted from the day that signer was first emailed. By default that is day 3, 7 and 14.
Each reminder day is used only once per signer. In a one-after-another order, the schedule starts for each signer when their own turn begins. A reminder you send by hand with Send reminder does not change the schedule.
Change the schedule for the whole company
- Open Settings > Notifications and find the Contracts card.
- Send signature reminders switches automatic reminders on or off for all contracts.
- Edit the numbers of days, remove them, or click Add reminder to add another day.
- Under Notify these roles on contract activity, choose which roles get an in-app notification when signers act on a contract.
- Click Save.
The days count from the first email
The help text on the settings page speaks of days "of silence since they were last reminded". In practice each number is counted from the day the signer was first emailed: 3, 7 and 14 mean the 3rd, 7th and 14th day after sending, not every 3 days.
Switch reminders off for one contract
- Before sending: turn off Send automatic reminders on the draft.
- After sending: on the contract page open the menu (three dots) and choose Turn reminders off. Choose Turn reminders on to resume.
The day before the deadline
If a contract has a Signing deadline, every signer who has not signed yet receives an "expires soon" email on the morning of the day before the deadline. This message is sent even when reminders are switched off for the contract or the company.
When the deadline passes
Signing closes at the start of the deadline date
The deadline is a date, and signing closes when that date begins (midnight, Bilify's time). A contract with the deadline 15.10.2026 can be signed until the end of 14.10.2026. The signer email says "Please sign by" followed by the deadline date, so pick a deadline one day later than the last day you want to allow.
Bilify checks deadlines every hour, and again whenever someone tries to sign. Once the deadline has passed:
- The contract becomes Expired. Signers who have not signed can no longer sign; signatures already given stay recorded.
- The person who sent the contract gets an email, and the roles chosen in the notification settings get an in-app notification.
- If you use webhooks, a
contract.expiredevent is sent.
You cannot extend the deadline of a sent contract. To try again, open the contract, choose Duplicate as draft in the menu, set a new Signing deadline and send the copy.
Setting a deadline
- On a contract: the Signing deadline field on the draft. It cannot be before the Effective date.
- Through a template: Default signing deadline (days) fills the deadline when you pick the template. If a contract from that template is sent without a deadline, the deadline is set that many days after sending.
- Without a deadline the contract stays open until everyone signs, someone declines, or you void it.
