What your clients see in the portal

A tour of the client portal from your client's side, which documents appear, what clients can do there and what stays private.

This page walks through the client portal as your client experiences it, so you know what to expect when a client calls with a question. Clients get their own help pages inside the portal as well (for example Sign in to the portal).

Signing in

Clients never get a password. On the sign-in page they enter their email address and receive a one-time sign-in link, valid for 15 minutes. The link only arrives when:

  • the email is saved as a contact of one of your clients, and
  • that client has Portal access switched on.

For any other address the page still says the link is on its way, so nobody can find out which emails belong to your clients. If a client says the email never arrives, check these two things first. See Give a client portal access.

After signing in, the client stays signed in on that browser until they sign out.

Invoice emails contain a View invoice button that opens that one document without signing in, for 30 days. Viewing works without an account, but the Download PDF and Pay now buttons on that page currently send the client to the sign-in page first. If you switched on Require login to view documents in Settings > Portal, the button leads to the sign-in page instead.

The portal pages

The portal carries your company name, logo and brand color. Each client sees only their own records; contacts of the same client all see the same documents.

My invoices Every issued document except offers (invoices, pro-forma invoices, advance invoices and so on), with status and date filters, a PDF link per row and Download selected for several at once.
Offers Issued offers. Opening one shows an Accept offer button.
Payments Every payment you recorded against their documents, with Total paid, Payments and Still outstanding tiles.
Contracts Contracts sent to them, split into Awaiting signature and Archive. Only shown when your package includes contracts.
Account Their client details as you saved them (read-only), their sign-in history and a Message us form.

Which documents appear

  • Only issued documents appear: statuses Issued, Sent, Seen, Partially paid, Paid and Overdue.
  • When a client opens an Issued or Sent document (signed in or from the emailed link), its status changes to Seen. Later statuses are not changed.
  • Drafts never appear. Neither do cancelled documents: once you cancel a document it disappears from the portal.
  • Each document is shown in the design you chose, exactly as it prints, including the payment details from its payment method.

What clients can do

Download a PDF Nothing is recorded. The client gets the print view and saves it as a PDF.
Pay now Shown on invoices with an amount still owed, never on offers or pro-formas. With Stripe set up as the invoice's payment method, the client pays the amount still owed by card and the payment is recorded on the invoice automatically. Otherwise the client is told to use the bank details on the document. See Online payments with Stripe.
Accept offer The acceptance is saved with its date and appears in the activity log. The offer is not converted automatically; you convert it yourself. See Convert documents.
Send a message from Account You receive an email with the subject and message. Replying to it answers the client directly. It goes to the Reply-to email from the portal settings, or to the owner's login email when that is empty.
Sign a contract Signing happens on the public signing page reached from the signing email or the Sign now button. See Track signatures.

Clients cannot edit their details, upload files, create documents or see anything about other clients.

Things clients often ask

  • "I see an amount still outstanding but I paid." Payments by bank transfer appear only after you record them on the document. See Record a payment.
  • "My company name is wrong on the invoice." Issued documents keep the details they were issued with. Fix the client record for future documents.

Language

The portal is available in Macedonian and English. Clients switch with EN / MK on the sign-in page or in the portal header, whether the portal runs on a path, your subdomain or your own domain. A client's language choice is remembered for their contact. The contract signing page always uses the contract's own language.
